Software & Tools
What accounting software do you use?
We use the Intuit QuickBooks suite of products, and primarily work with QuickBooks Online.
Who is the owner of the QuickBooks file?
Unless specifically stated otherwise, we always make the business owner the primary admin on any accounting software. You have ownership over your accounting system.
Scope of Service
Do you keep track of personal finances?
No, we only keep the financial records of the business entity. We don't provide personal bookkeeping. Owners and shareholders should use their own accountants and/or financial advisors for personal finances.
Do you file taxes on our behalf?
No. We can recommend a CPA (Certified Professional Accountant), though we suggest clients seek out their own. We'll communicate any needed financial reports to your CPA so they can file taxes on your behalf.
Access & Security
What financial information do you need from me?
To start, we need access to your accounting systems and bank account. Depending on your needs, we can be added with view-only, limited, or full access.
Is my financial information secure?
We adhere to whatever communication practices you feel are most secure when sharing reports and sensitive data. The systems we use offer a secure experience, and we're happy to review any concerns before we start using a new system.
Is AI a part of the accounting tools you use?
Yes! QuickBooks now includes built-in AI features to assist in using the platform. We put those features to work for you where they help, and always personally review them for accuracy.
Do you use AI tools in your work?
We selectively use tools such as ChatGPT and Claude, with your written permission. We use AI to help with things like building custom dashboards. It supports our work, it doesn't replace us reviewing your books, financial reports, and dashboards for accuracy.
Does AI have access to my company's financial data?
Not without your express written permission. When we use AI to help build dashboards or analysis, we de-identify the data first, so it can't be attributed to your company, your customers, or your vendors. We would only ever connect your identifiable data to an AI system like Claude with your explicit, written consent.
Working Together
How do we communicate if you are virtual?
We recommend email, we ask for an email account on your company's domain for accounting purposes, which we use to communicate with you, your customers, and vendors.
How often do we meet?
Depending on your package we have a recurring video meeting weekly or bi-weekly.
